Working in the Centre

The following information provides a general overview of how researchers work in the centre and the facilities that are available.

Reserving work time
Please be sure to reserve the time you wish to work at the RDC. This will ensure that a staff person will be available; and as the centre becomes busier, that there will be a workstation reserved for you. If you are unable to visit the centre as scheduled, please let the staff person know of your plans to work in the centre.

Your home directory
Each researcher has a private home directory on the RDC server. We ask that you save all your files within your home directory on drive (H:) 'Stats_can\Data7'. Please avoid saving files to the local drives (C:) or (D:) of the workstations. You may not always have access to the same workstation. As well, we will not be backing up the local drives, and your files are available to anyone else using that workstation. The local drives of the workstations will periodically be purged of any user files. Also please avoid saving files to any other drives on the server. If you wish to share a file with another researcher, the staff will be happy to assist with copying the file to another researcher's home directory, or arranging for shared access if both researchers consent.

Folders in your home directory
You are free to create folders and files as needed within your home directory. Please do not create folders and files outside of drive (H:) Your home directory has a read-only folder called: public. This folder is used to store a permanent record of files and supporting documentation for output released from the centre.

Backing up your files
A regular weekly back up is performed for all home directories each week. Historical back ups are not maintained. This means we can not restore 'old' files from previous backups. It is the your responsibility to maintain all required files on your home directory. To assist with efficient back ups and storage, we ask that you delete unnecessary files from your home directory. This will save on our storage space.

Documents removed from the centre
The public folder for each separate project on your home directory is a read-only folder. The public folder is a permanent record of all files that have been cleared for release from the centre. Within the public folder there will be a sub-folder called release. Only files that have been reviewed for disclosure risk will be stored in the release sub-folder. This will assist you in monitoring what information has been released as intermediary output. This is important for avoiding problems with removal of your final output from the centre. This folder will be backed up on a regular basis along with all the other files in your home directory. The other sub-folder called documentation will have supporting files needed to document the output files in your release sub-folder. Only files in the release sub-folder may be removed from the centre. Files in other folders must remain in the centre.

Statistics Canada data directory
The Statistics Canada data and documentation that you have access to is located on drive (I:) Data0 on 'Stats_can'. You may copy these files to your own home directory for data analysis. Please do not copy these files to another drive or directory.

User name and password
Each researcher has a private user account. Through this account you will be able to access your home directory and the Statistics Canada data. For this reason it is very important that you keep your user account name and password private. Do not share this information with anyone else. If you must write the information down, keep it in a safe place. You will be able to leave your work files in a locked cabinet at the RDC; this would be the best place to leave your user account information.

The staff person will provide you with a user name and an initial password. You may change your password. The passwords must be a minimum of five characters and preferably longer. Do not use your user name as your password. Also try to use a combination of alphanumerics and other symbols. Please see the staff person for direction on how to correctly change your password on the server. If you change your password on the workstation that you are currently using the new password will not be registered with the server.

Workstations
There are eight PC workstations and two Macintosh workstations. Please reserve the workstation that you would like to use at the time you reserve your time at the RDC. Some workstations may occasionally be reserved for system administration, and will not be available.

The workstations have small cabinets over head. These cabinets are for the general use of everyone. The keys will remain in the staff office. The availability of cabinets will depend on demand.

Logging on to the RDC system
To begin working with the data and your files, you will first need to log on to the RDC server. You can log on to the server by following these steps. Occasionally, another log in box will appear: Windows NT/2000 Workstation. Select OK. Do not enter your password and do not check the box for: Change Windows NT/2000 password The dialogue box will disappear. You may see a login status box momentarily. If this box does not disappear, please check for any error messages that may be listed and report it to the staff. Once the login status box disappears, you are now logged on to the RDC server, and ready to begin accessing the Statistics Canada data and documentation, and your home directory. You can find these drives by clicking on either the My Computer or Explorer icons.

Locking the workstation
If you will be momentarily out of the centre, please lock your workstation by pressing the Ctrl, Alt and Del buttons on your keyboard at the same time. The NetWare Security dialogue box will appear. Select the Lock workstation button in the dialogue box. The Workstation Locked box will appear. The workstation is now locked and can only be unlocked by you or the staff person.

To unlock the workstation when the Workstation Locked box appears, press the Ctrl, Alt and Del keys on your keyboard at the same time. Enter your username and password in to the appropriate spaces. Press OK.

Do not lock the workstation if you will be away from the centre for longer periods of time. It is always safer to log off the server if you will be away for longer periods.

Logging off the RDC system
It is very important to log off the server when you are finished working for the day or if you will not resume working until later in the day. It is always safer to log off the server if you will not be working on your files for more than an hour.

To log off of the server, right click the mouse on the My Network Places icon on the desktop. Select NetWare Connections

The NetWare connections dialogue box will appear. Under the list of resources, select STATS_CAN and then select the Detach button.

The NetWare Services box will appear. Select the Yes button. Then select the Close button on the NetWare Connections box.

You are now logged off of the server and will need to log on to continue your work later.

Preparing to remove information from the centre
Please be sure to discuss your plans for removing output and results from the centre with the staff well in advance. The more planning you do, the easier it will be to complete the disclosure risk analysis when you are ready to remove output from the centre.

When you are ready to remove intermediary or final output from the centre, please complete a request form for disclosure risk analysis. This form will assist both you and the staff to identify exactly what information that you are requesting to remove from the centre.

Printing
A printer is available for your use. There is limited storage available in the centre, so we ask that you limit your printing. Documentation should be used on the screen as much as possible. A limited number of pages of documentation can be printed.

Printing of output and results from datasets must always be printed on green paper. All green paper must remain in the centre. Printed output and results must never be removed from the centre. This output is stored in a locked filing cabinet.

Fax and photocopier
A fax and photocopier are available in the staff office. This equipment is not intended for faxing or copying a large number of pages. The photocopiers in the library are better equipped to copy a large number of pages. The number for the fax machine is 604-822-9028. Please feel free to use the fax machine as necessary.

Exterior lockers
There are lockers outside the door of the RDC. These lockers are available for your use if you wish to lock personal items during your visit to the RDC. The lockers are also provided for storing portable computer devices. Researchers are asked not to bring portable computer devices into the RDC. Please supply your own lock for the locker.

Cellular phones and the researcher's telephone
Cellular phones will not work in the RDC. Please feel free to use the researcher's telephone in the RDC. The number for the researcher's telephone is 604-822-0658. This telephone is the best way for people to contact you while you are in the centre. Some paging devices will work in the RDC. However, some types of pagers may not work in the RDC.

Visitors and guests
Only persons with security clearance are allowed entry into the centre. Please do not invite guests into the centre. Also do not permit entry of any one you do not know into the centre. The physical security of the equipment and the data is the legal responsibility of each researcher as a deemed employee of Statistics Canada.

Safety procedures and emergencies
The emergency exit for this floor is at the end of the main corridor. As you exit the stairwell to this floor, the emergency exit is straight ahead at the end of the main corridor.

If the building alarm sounds or if you smell smoke, immediately leave the centre and go to the emergency exit. Do not use the stairwell if possible. A fire barrier will automatically seal the stairwell when the alarm sounds. In the event of an earthquake, immediately go to the emergency exit. Do not leave the building until instructed. There may be falling debris outside of the building.

In the event of a medical emergency, call 9-911. The ambulance must be directed to Koerner Library at Main Mall and Mathematics Road. The ambulance crew must enter through the mail room door since the front door is not accessible to the ambulance. Someone must meet the ambulance at the mail room door.

If the security alarm sounds, or if there is any problem with security, contact campus security at: 2-2222.

Climate control
The RDC has a climate control system. Please let the staff know if you would like the temperature adjusted. Due to the considerable heat produced by the equipment in the centre, we are limited in how high the temperature can be increased.

Coat and umbrella rack
Since it occasionally rains here, a coat and umbrella rack with hangers is available for your use. Please do not place any wet belongings on furniture in the centre.
